An Office file is an editable working document, and that is exactly the problem when you send it to someone else. It opens differently depending on their software and installed fonts, anyone can change it, and a recipient without Word, Excel or PowerPoint may not be able to open it at all. Converting to PDF settles the layout and makes the file portable; converting to images makes a page embeddable in a slide, a web page or a message.

Conversion renders the document the way an Office application would lay it out, then writes a PDF, or rasterises each page to an image at the resolution you choose. When PDF is the output, the result is additionally run through the PDF optimizer, so the resolution and optimization settings still affect the images inside the finished document.

Fidelity is the honest caveat. Fonts that are not embedded in the file are substituted with the closest available match, which can shift line breaks and page counts. Spreadsheets convert according to their saved print setup, so a wide sheet with no print area defined may split across pages in unexpected places — set the print area and page orientation in Excel before uploading. Slide transitions, animations, embedded video and macros have no equivalent in a static page and are dropped. Always open the result before sending it on.
